Board Meeting Minutes - November 2024

Hey folks, I have taken over as the LLVM Foundation secretary from Kit Barton, and I have a backlog of meeting minutes to publish.

For ease of publishing, our plan going forward is to export PDFs to a Google Drive rather than individually uploading PDFs to the foundation website every month. I don’t have access to the website at the moment, but the plan is to link it over to this shared public documents Google drive here, which will contain PDFs going forward. I’ll keep posting the minutes here on Discourse in Markdown, so if you want to receive them as email, subscribing to the LLVM Foundation category is probably the best, most accessible way to stay up to date on the Foundation board meeting proceedings.

Our next board meeting is tomorrow, where we’ll approve the December minutes, and then we will have cleared our backlog and be out of minute publication debt. Meanwhile, I’m posting the November notes below. You’re welcome to browse the PDFs above to catch up on minutes between April and November. I’m not planning to post them to Discourse since they are probably stale at this point.

  • Board Member Introductions
    • Welcoming new members, Anshu, Anna, and Allison
  • Follow-up from previous meeting
    • Need to follow-up on web site updates and meeting minutes
    • We’ve received financial updates from BLine and will post them soon
      • US LLVM dev meeting closeout won’t be included and will have to be estimated
    • AI: Finance committee, ED, last treasurer, current treasurer (ChrisB, Mike, and Tanya) will meet separately before the next meeting to prepare the next budget for our last 2024 meeting.
  • US LLVM Dev Mtg Reflections
    • A big success! On time, successful, reaching pre-pandemic attendance levels, etc.
    • LLVM is becoming an umbrella conference, there are many more groups and folks who could attend and would get value, but it’s not advertised, or unknown.
      • LLVM conference isn’t branded or advertised as being a premiere venue for industry AI/ML compiler networking and collaboration
    • The MLIR workshop is a major aspect of the event, but it’s unrecorded. Going forward, we’ll get in touch with the organizers and see if they want to make any changes.
    • Considering raising our attendance target to 600. From experience, 3000 attendees creates a miserable conference, let’s stay well below that.
    • We looked at other conference ticket prices, and found that our ticket costs are competitive, although we’d always like to keep prices lower.
      • Perhaps with additional staffing we could hold more smaller events.
  • Program director job search update
    • Internal
  • Meetup funding inquiry from Nick Desaulniers on bay area LLVM social meetups
    • The Foundation should write down our policy on meetup funding.
    • We include meetup funding in our budget, so there is money to spend on this
    • AI: Reid will draft the meetup policy
  • Tom Stellard - Funding Request, $500/month
    • We already have unused budget for infrastructure
    • Mike: Give him the money, ask him to report back in 90 days
    • Board approved, Tanya will reply with confirmation
  • EuroLLVM & AsiaLLVM next steps
    • EuroLLVM:
      • Got statement of work from BLine
      • Finalizing venue soon
    • AsiaLLVM:
      • Difficulty locking in venue in June, exploring alternative dates due to conflicts
      • Need introductions to book non-hotel venues
  • Working group meeting format update
    • We can open working groups up to the community
      • This can be a way to create onramps from the community onto the board
    • Many board members interested in helping draft new working group design doc
    • Community governance elections (LP-0004) may create clear candidates to join these working groups
  • FOSDEM 2025 asked us if we want to have a stand
    • The deadline for signing up is Nov 7
    • Agreed we can say yes

Sorry about that. I uploaded the June minutes, but it looks like we cancelled the May board meeting instance. The private minutes docs link back from June to April, skipping May.
